Agreement to Terms

By registering for, purchasing, or participating in any Better AroundUs event, program, or membership (“Programs”), you agree to these Terms & Conditions. If you do not agree, please do not participate in or purchase our Programs.

2. Payments and Refunds

All payments for Better AroundUs Programs are final unless otherwise stated in writing.

  • Refunds: Refunds are only issued if a Program is canceled by Better AroundUs.

  • Cancellations: If you cancel your participation, you may not be eligible for a refund.

  • Chargebacks: By completing a purchase, you acknowledge that all charges are valid and authorized. You agree not to initiate a chargeback or payment dispute for any reason other than unauthorized use of your payment method. If a chargeback is submitted, Better AroundUs reserves the right to dispute it and may suspend or terminate your access to current and future Programs.

  • Payments for items or events categorized as not-for-profit, or for purchases designated as donations, are non-refundable. In certain cases, a credit may be issued at the discretion of Better AroundUs staff if a comparable event or program is available. Alternatively, discounts on future events may be offered as a courtesy.

  • Events cancelled due to events out of Better AroundUs' control will not be refunded.

3. Participant Conduct

Participants agree to engage respectfully with others during all Programs and events. Better AroundUs reserves the right to remove or refuse participation to anyone whose behavior disrupts the experience or violates our community guidelines.

4. Assumption of Risk and Liability Waiver

By attending or participating in any Better AroundUs Program (in person or online), you acknowledge that you do so voluntarily and assume all risks associated with participation. Better AroundUs, its staff, and partners are not responsible for any injuries, losses, or damages that may occur during or as a result of your participation.

5. Program Changes

Better AroundUs reserves the right to modify, reschedule, or cancel Programs as needed. In the event of a cancellation by Better AroundUs, registered participants will be notified and offered a refund or credit toward a future Program.

6. Use of Photos and Media

By attending a Better AroundUs event, you grant permission for photos, videos, or recordings that include your likeness to be used for promotional purposes, unless you notify us in writing prior to the event.

7. Intellectual Property

All materials, guides, and content provided through Better AroundUs Programs are owned by Better AroundUs and may not be copied, shared, or distributed without prior written consent.

8. Limitation of Liability

To the fullest extent permitted by law, Better AroundUs is not liable for any indirect, incidental, or consequential damages arising from participation in our Programs. Our total liability for any claim shall not exceed the total amount paid for the specific Program in question.

9. Privacy

Personal information collected during registration is used solely for communication and administration related to Better AroundUs Programs. We do not sell or share your information with third parties.

10. Governing Law

These Terms & Conditions are governed by and construed under the laws of the State of TN, without regard to conflict of law principles.

Guest & Event Attendee Policy

Purpose


Better AroundUs is a Memphis-based women’s community dedicated to building lasting friendships, supporting one another through life’s highs and lows, and improving health outcomes through meaningful social connection.
While many of our programs are for members, we also welcome guests and potential members at select events. This policy outlines the expectations and responsibilities of non-members who attend Better AroundUs activities.

By attending an event, guests agree to follow these guidelines and terms, which are included in the registration or RSVP form.

1. Eligibility and Attendance

  • All guests must be members or potential members of Better AroundUs, except for designated community events that are free and open to the public.

  • Because Better AroundUs is a women’s organization, only individuals who identify as women may attend member or member-guest events. This policy helps us preserve the mission and integrity of our community space.

  • Event staff reserve the right to refuse entry or ask any attendee to leave at any time, for any reason. A reason may not be provided. Failure to comply may result in removal by law enforcement and a permanent ban from future events.

  • Guests or attendees who are refused entry or asked to leave are not entitled to any refund or credit. By registering for an event, guests acknowledge and agree to these terms.

2. Respect for All Participants

Every guest must treat all members, staff, and fellow attendees with kindness and respect.
Discriminatory, disrespectful, or aggressive behavior, whether verbal or physical, will not be tolerated and may result in immediate removal from the event and a permanent ban from future participation.

3. Platonic Community Standard

  • Better AroundUs is a strictly platonic environment.

  • Romantic or sexual advances toward members, staff, or other attendees are not appropriate and may result in immediate removal and permanent exclusion from all future events.

  • 4. Safe and Supportive Environment

  • Guests must refrain from harassment, intimidation, or bullying in any form.

  • Physical contact must always be consensual and appropriate.

  • Threatening behavior, stalking, or any form of violence will result in removal, permanent banning, and possible legal action.

5. Privacy and Confidentiality

  • These are intimate spaces to build trust and respect. We value the privacy and trust of all participants.

  • Sharing an individual’s personal details that you are entrusted with in our spaces will result in removal, permanent banning, and possible legal action.

  • Guests may not share or post personal details, photos, or recordings from events without the explicit permission of those involved.

  • Recording others without consent is prohibited unless done to protect yourself, others, or property, or to document a crime.

  • Better AroundUs will always have videos and photos from events that guests can access per request.

6. Event Conduct

Guests are expected to:

  • Arrive on time (if applicable) and respect the facilitator and venue.

  • Follow all posted and verbal instructions.

  • Conduct themselves in a way that supports a positive, welcoming environment.

  • Disruptive behavior, including intoxication, arguments, or disrespect toward staff, will not be tolerated and may lead to removal without refund.

7. Substance Use

  • Alcohol consumption is allowed only at events where it is explicitly permitted.

  • Guests must be 21 or older to consume alcohol.

  • Intoxication that causes discomfort or disruption will result in removal.

  • Illegal substances are strictly prohibited, and smoking or vaping is only allowed in designated outdoor areas, at least 25 feet from event spaces.

  • Some venues do not allow smoking. Check with the venue or Better AroundUs staff before smoking on the premises.

8. Inclusion and Participation

  • Guests are encouraged to engage positively and inclusively.

  • Gossip, exclusionary behavior, or promoting personal agendas is discouraged.

  • Better AroundUs gatherings are spaces for friendship, empowerment, and connection; not sales, solicitation, or recruitment.

9. Boundaries and Personal Safety

  • Respect personal space, privacy, and boundaries at all times.

  • Do not pressure anyone to share personal information or engage in private gatherings.

  • We do host networking events and it is strongly discouraged to participate in networking outside of these designated events.

  • Unauthorized promotion or solicitation of businesses, services, or organizations during events is prohibited.

10. Reporting Misconduct

  • Guests should report any concerns or violations to Better AroundUs staff immediately, in person, or through our website form.

  • All reports are handled confidentially, and retaliation is not tolerated.

  • Better AroundUs reserves the right to remove any guest from an event, deny entry to future events, or revoke participation rights for any reason that may compromise the safety or comfort of others.

11. Liability and Assumption of Risk

  • By attending, guests acknowledge that participation in Better AroundUs events is voluntary and assume responsibility for their own safety and belongings.

  • Better AroundUs is not liable for injury, loss, or damage resulting from participation, except as required by law.

12. Commitment to Community Values

By attending, guests agree to:

  • Treat others with respect and empathy.

  • Uphold a safe, platonic, and inclusive environment.

  • Comply with staff direction and organizational policies at all times.

Guests who violate these expectations may be removed from the event and banned from future activities, without refund or appeal.

Vendor Policy

As a vendor, you are an essential partner in bringing this atmosphere to life. To ensure a safe, legally compliant, and empowering environment for all attendees, staff, and creators, all participating vendors must strictly adhere to the following Terms, Conditions, and Code of Conduct guidelines:

1. Community Integrity & The Better AroundUs Vibe

  • Inclusivity & Mutual Trust: We expect our vendors to embody the spirit of sisterhood that defines our brand. Lead with warmth, greet attendees openly, and help individuals,especially those attending alone, feel immediately welcomed, safe, and at home.

  • Collaboration over Competition: We practice community over competition. All vendors are expected to interact respectfully with other businesses, staff, and guests. Disparagement, aggressive marketing tactics, or disruptive behavior will not be tolerated.

2. Operational Accountability & Presence

  • Punctuality & Scheduling: Vendors must comply precisely with designated arrival, setup, and teardown windows. Your booth must be fully operational and ready for guests by the event's official start time.

  • Full-Duration Presence: Early breakdown or abandoning your station before the formal conclusion of the event is strictly prohibited, as it compromises the aesthetic and safety flow of the picnic environment.

  • A Woman-Centered Space (Our Presence Policy)

    To preserve the intentional, safe, and empowering atmosphere we are cultivating for our guests, all vendors present during event hours must be women.

    • Co-Owned Businesses: If your business is owned by a couple, a family, or a mixed-gender group, we absolutely celebrate that! However, we ask that only the female partner(s) or female representatives run the booth and remain present for the duration of the social event.

      • Setup & Breakdown Exception: Anyone (regardless of gender) is more than welcome to help you load in, set up your booth, or pack up and break down your station at the end of the day. Once the event officially begins, the space transitions exclusively to a woman-centered environment.

3. Safety, Venue Compliance, & Liability

  • Cleanliness & Hazard Management: Vendors are solely responsible for maintaining a clean, hazard-free, and tidy physical footprint throughout the event. All trash, inventory packing, and debris must be entirely cleared from your designated zone upon checkout.

  • Facility Preservation: All installations must strictly adhere to the permanent venue rules (e.g., park regulations, structural parameters). No alterations to the physical landscape or unapproved heavy gear are permitted.

  • Independent Responsibility: Vendors operate at their own risk. Better AroundUs is not liable for any lost, stolen, or damaged inventory, equipment, or personal property. Vendors are independently accountable for complying with all applicable local, state, and federal laws relative to their specific business practices, licensing, and transactions.

4. Code Violations & Zero-Tolerance Policies

To maintain a safe and trusting space for all women, Better AroundUs enforces a zero-tolerance policy regarding the following actions:

  • Hateful or Discriminatory Behavior: Any form of verbal, written, or physical harassment, exclusion, or discrimination based on race, age, body type, background, orientation, or belief.

  • Deceptive Practices: Presenting false, intentionally misleading, or fraudulent statements regarding your products, services, or brand representations.

  • Disruptive Conduct: Engaging in aggressive communication or any behavior deemed toxic to the energetic space we are cultivating for the community.

5. Right of Enforcement & Termination

Better AroundUs reserves the absolute right, at its sole discretion, to modify booth placements, pause specific activations, or immediately terminate a vendor’s account/participation and escort them from the premises without a refund if a breach of these guidelines occurs.

Acknowledgment & Agreement By completing your vendor registration, executing payment, and setting up your space at the Spring Social Picnic, you acknowledge that you have read, understood, and agreed to be legally bound by these operational standards.
